Your board's discussions stay private.

Board meetings are often sensitive — budget discussions, personnel matters, legal issues, votes that haven't been made public yet. Everything you send us stays inside our own dedicated Microsoft Azure environment, encrypted in transit and at rest, reachable only through your signed-in account. Below, we walk through exactly how each protection works, in plain language, so you can decide for yourself whether it's enough.

How we protect your data

Here are the protections built into Minutes Services for every board that uses it.

Strict model training restrictions

Input data, prompts, and system completions are strictly confidential. No user data or query information is used to train, refine, or improve public AI foundation models.

A dedicated, private environment

All data operations are conducted within Minutes Services' own isolated, dedicated Microsoft Azure cloud tenant boundaries. Files are kept in private storage, and access is limited to authorized systems and your organization's signed-in users.

Stateless system architecture

Standard AI queries are executed through stateless processes. Inputs and generated outputs are used temporarily to fulfill the request and are not persistently stored by the core inference engine.

Encryption in transit and at rest

Every connection to Minutes Services — from your browser to our servers, and between our own services — is encrypted with HTTPS using TLS 1.2 or newer. Your recordings, transcripts, and minutes are also encrypted at rest, including Transparent Data Encryption on our database.

Account-level access controls

Each organization's recordings, transcripts, and minutes are kept separate by account. Role-based permissions decide who can manage boards, members, and billing, and sign-in uses one-time email codes with rate limiting and bot protection.

Hosted on Microsoft Azure

Minutes Services runs on Microsoft Azure, whose data centers maintain independent compliance certifications, including SOC 2 and ISO 27001. We build on that foundation with encryption in transit and at rest, private file storage, and role-based access to every account.

Common questions from boards

Access is limited to your organization's signed-in users and the authorized systems that process your files. Recordings are kept in private storage, inside Minutes Services' own dedicated Microsoft Azure environment. To draft your minutes, the transcript text is sent over an encrypted connection to our AI provider, which processes it under commercial terms.

No. Your recordings, transcripts, and drafts are never used to train, fine-tune, or evaluate any AI model — our AI provider's commercial terms keep your content out of any training pipeline.
